E-mail and Groups
 

ConsolQ v4.0 has a much more powerful email service than previous versions.  There is no longer any need to install a separate email client. This is now integrated into the web application.  Any of your customers or team members can send your ConsolQ system an email.  This can be very useful feature if your team members are away from your network but still have access to an email service.

Send ConsolQ an email

Using any email software simply type the ConsolQ email address for your system (configured in Admin) into the address field. Create an email as normal including attachments as necessary and send.

Receiving emails

ConsolQ has a shared Mailbox for incoming email in the General menu section.

Click on Mailbox to go to the mail box. Their are 4 menu tabs on this page: New Mail, Today's Mail, Sent Mail and Processed 

To open an email click on Process this Email

Click Click to view Attachment 1949.jpg to view attachments 

To create a new call from an incoming email simply click Create a New Call from this Email - 252. You will be taken to the New Call screen.

You also have the choice of adding the email to an existing call or task

Click Reply to this Email - 252 to reply to the email, or

Click Forward this Email - 252 to forward the email.

Click Delete this Email - 252to delete an email

To send an email from ConsolQ

In addition to replying to or forwarding an email that has been received by ConsolQ you can send an email from the email menu tab when you are either in a Call or Task window

Click Send an Email to send an email. You can select a group to send an email to or type in an individual email address.  Please note ConsolQ is not intended to be a fully functional email system (at this stage).  We have incorporate email functionality to support the workflow associated with problem management.

You can email a service note by clicking the Email This Service Note at the top of the service note Window.

You can email an attached file that has been attached to a call from the Files tab by clicking

You can email a custom form. Simply select the custom form and then 'Email this document'.

The default single email address is the client linked to the call, assuming a valid email address is configured in client details.

 

Email groups can be configured using the Group Functionality.

 

Go to Groups in the General Menu.

 

Create a new group eg. "Downtime notification" .

 

Then click on Edit Group Details.

 

Tick the check box " Make this an email group" and click ENTER.

 

Select the Members Tab and add as many members as required.

 

More Group info

System groups are configured in ConsolQ.  System Groups cannot be modified other than by changing members of the groups.

Calls cannot be allocated to System Groups.

A dedicated email address can be assigned to any group.

note: Email groups will nto show up in the group drop down list when allocating calls or tasks.
